Privacy Policy

ElevateEd (“we”, “our”, “us”) is committed to protecting your personal data used for DepEd Teacher Position Reclassification and promotion workflows. This Policy explains what we collect, why we collect it, how it’s used and shared, how long we keep it, and your rights.
1. Scope

This Policy covers ElevateEd modules that support teacher promotion/reclassification under DepEd: secure login, applicant profiles, evaluator portals, submission of evidence/portfolios, ratings, comments/remarks, and audit logs.

2. Data We Collect
  • Identity & account: name, email/username, role/office, school/district, profile details.
  • Employment & eligibility: current rank, years in service, assignments, and related promotion data.
  • System activity & security logs: login timestamps, device/IP (as part of audit trail and security).
  • Workflows & submissions: forms, ratings, comments, supporting documents/evidence (and metadata).
3. Purposes & Legal Bases
  • Authentication & account security (legitimate interests / public task).
  • Processing of teacher promotion/evaluation in line with DepEd policies (public task / legal obligation, as applicable).
  • Official communications related to your application, evaluation, or required actions (legitimate interests / public task).
  • Compliance & audit trail through system and access logs (legal obligation / public task).
4. Sharing & Disclosure

We do not sell personal data. Access is limited to authorized DepEd personnel involved in promotion (e.g., raters/evaluators, district supervisors) and trusted service providers operating under confidentiality and data processing agreements. We may disclose where legally required or to protect rights and safety.

5. Retention

Records are retained only as long as necessary to fulfill legal, regulatory, and operational requirements of the promotion process, after which they are securely deleted or anonymized.

6. Security

We implement technical and organizational safeguards including role-based access controls, encryption in transit, least-privilege policies, and logging. While no system is 100% secure, we continuously improve to reduce risk.

7. Your Rights
  • Request access to or correction of your personal data.
  • Object to or request restriction of processing in certain cases.
  • Withdraw consent where processing relies on consent (does not affect prior lawful processing).
  • Lodge a complaint with the appropriate data protection authority.
8. International Transfers

If any processing occurs outside your jurisdiction, we apply appropriate safeguards as required by law.

9. Changes

We may update this Policy from time to time. Material changes will be communicated through the Platform.
